“Fonts aren’t embedded, please outline them.”
The printer doesn’t have your fonts, so without them the text would print in a substitute font, or not at all. Either embed the fonts when you export the PDF, or convert the text to outlines (shapes), which needs no font at all. Keep an un-outlined copy, because outlined text can’t be edited.
Updated November 3, 2026 · by Azaan Ali, print designerWhy printers ask for this
A design file only points at fonts installed on your computer. Send that file to a printer who doesn’t own the same fonts, and their software swaps in something else, so line breaks move, text overflows boxes, and the menu reflows onto the wrong page.
Embedding puts the font inside the PDF. Outlining turns each letter into a vector shape, so no font is needed at all. Printers ask for one or the other so the text prints exactly as you designed it.
How to embed or outline fonts for print
- InDesign: export with File → Export → Adobe PDF (Print), preset PDF/X-1a or PDF/X-4. These embed all fonts automatically.
- Illustrator: save a copy first, then select all text and choose Type → Create Outlines. Export the PDF from the copy.
- Canva: Download → PDF Print embeds fonts; tick “Flatten PDF” if the printer still complains.
- Check the result in Acrobat: File → Properties → Fonts should list every font as “Embedded Subset”, or no fonts if outlined.
- Keep your editable original, because you can’t fix a typo in outlined text.
Or send it to us
- Embed or outline every font, depending on what your printer asks for
- Replace missing or corrupt fonts with the right ones, checking that line breaks don’t move

- Send you the print PDF and an editable version
Questions
- Is it better to embed or to outline?
- Both work. Embedding keeps the text searchable and is what PDF/X does by default; outlining is the safest choice for logos and display type. Follow your printer’s preference.
- Can a printer just install my font?
- Only if they hold a licence for it, and most won’t. Embedding in a PDF is allowed by almost every font licence.
- My text changed after outlining. Why?
- The wrong font was active when you outlined it. Undo, install the right font, then outline again. We can do it for you.
